Please review the following policy before requesting a cancellation or refund.
1. General Refund Policy
BookViaFly assists customers with airline reservations and related travel services. Refund eligibility may vary depending on the airline, fare type, ticket rules, reason for cancellation, and applicable law.
Some tickets may be refundable, while other tickets may be non-refundable or subject to specific cancellation conditions.
Customers should review the applicable fare conditions before completing a purchase.
2. Airline Cancellations
If an airline cancels a flight and the passenger does not accept alternative transportation or other compensation in lieu of a refund, the passenger may be entitled to a refund under applicable law.
For applicable flights to, from, or within the United States, U.S. Department of Transportation rules generally require refunds when an airline cancels a flight and the passenger does not accept the offered alternative or compensation.
Refund obligations may also apply when a flight is significantly changed or significantly delayed and the passenger chooses not to travel.
3. Significant Flight Changes
For flights covered by applicable U.S. DOT refund requirements, a passenger may be entitled to a refund when an airline makes a significant change or significant delay and the passenger chooses not to travel or accept an alternative.
Examples of significant changes may include:
- A significant change to departure or arrival time
- A change to the origin or destination airport
- An increase in the number of connections
- An involuntary downgrade in certain circumstances
- Certain accessibility-related changes
Applicable legal definitions and exceptions may change over time and will control where applicable.
4. Customer-Initiated Cancellations
If a customer voluntarily cancels a reservation, the refund will depend on the applicable fare rules and ticket conditions.
Non-refundable tickets generally do not qualify for a refund simply because a customer chooses not to travel, unless an applicable law, airline policy, or other contractual provision provides otherwise.
Cancellation fees, airline penalties, fare differences, or service fees may apply where permitted and properly disclosed.
5. Fully Refundable Tickets
If a customer purchases a fully refundable fare, the customer may be entitled to a refund according to the applicable fare rules and conditions.
Customers should contact BookViaFly before travel if they wish to cancel a refundable reservation.
6. 24-Hour Cancellation
For certain airline ticket purchases covered by U.S. Department of Transportation rules, airlines must generally either provide a 24-hour cancellation and full-refund option or allow a 24-hour reservation hold, when the ticket is purchased at least seven days before the scheduled departure.
The federal 24-hour airline requirement does not automatically apply in the same way to tickets purchased through online travel agencies or other ticket agents. The applicable booking arrangement and merchant-of-record relationship should therefore be reviewed before relying on this provision.
7. Refunds for Unused Tickets
Whether an unused ticket is refundable depends on the ticket's fare conditions.
- Fully refundable fares may qualify for refunds.
- Non-refundable fares may not qualify for voluntary refunds.
- Some fares may allow a credit or travel voucher instead.
- Applicable cancellation or administrative fees may apply.
Any refund will be processed according to the applicable fare rules and law.
8. No-Show Reservations
If a customer does not appear for a scheduled flight without cancelling or changing the reservation in accordance with applicable rules, the ticket may be treated as a no-show.
No-show rules vary by airline and fare type. Certain tickets may lose their value or become subject to additional restrictions.
Customers should contact BookViaFly before the scheduled departure whenever possible.
9. Airline Fees & Service Fees
Refunds may involve separate amounts for the airline ticket, taxes, optional services, and any service or administrative fees.
Any service fee that is non-refundable will be identified according to the applicable booking terms and disclosures.
Where applicable law requires a refund, legal requirements will control over conflicting contractual terms.
10. Merchant of Record
The entity responsible for issuing an airline ticket refund may depend on which company is the merchant of record for the transaction.
The merchant of record is generally the entity shown on the customer's payment or financial statement for the ticket purchase.
If BookViaFly is the merchant of record for an applicable ticket transaction, BookViaFly may have refund responsibilities under applicable law.
If another entity is the merchant of record, that entity may be responsible for processing the applicable airfare refund.
11. Refund Processing Time
Where a refund is legally due and BookViaFly is the responsible merchant of record, applicable U.S. refund rules may require prompt processing.
- Credit-card ticket purchases: generally within 7 business days after the refund becomes due.
- Other applicable payment methods: generally within 20 calendar days after the refund becomes due.
Actual posting time to a customer's account may also depend on the customer's bank or payment provider.
12. Original Form of Payment
Where a refund is required by applicable law, refunds are generally provided in the original form of payment unless the customer affirmatively agrees to another permitted form of compensation.
Travel credits, vouchers, or other alternatives may be offered where permitted, but customers should review the terms and expiration conditions before accepting them.
13. Refund Requests
To request a refund, customers should contact BookViaFly using the telephone number or email address listed below.
Please provide:
- Passenger name
- Reservation or confirmation number
- Ticket number, if available
- Reason for the refund request
- Relevant payment or booking information
Providing complete information may help us process the request more efficiently.
14. Refund Review
Refund requests may need to be reviewed against the applicable airline fare rules, reservation records, payment records, and applicable law.
Submitting a refund request does not guarantee that a refund will be approved when the applicable ticket terms or law do not provide a refund right.
15. Refunds for Additional Services
Optional services may include baggage, seat selection, upgrades, meals, Wi-Fi, or other airline services.
Refund eligibility for optional services may depend on whether the service was provided, whether the airline cancelled or changed the flight, and applicable airline rules or law.
Certain ancillary service refunds may need to be requested directly from the airline depending on the service and applicable rules.
16. Travel Credits & Vouchers
Where permitted, an airline or travel provider may offer a travel credit or voucher instead of a cash or original-payment refund.
Customers should carefully review the expiration date, restrictions, eligible routes, passenger requirements, and other conditions before accepting a credit or voucher.
If applicable law provides a refund right, accepting a voucher or credit may affect the customer's refund options.
17. Fraudulent or Unauthorized Transactions
Refunds involving suspected fraud, unauthorized transactions, payment disputes, or chargebacks may be subject to additional review.
BookViaFly may request information necessary to verify the transaction and protect customers and the business from fraudulent activity.
18. Policy Changes
BookViaFly may update this Refund Policy from time to time to reflect changes in airline rules, applicable law, services, or business practices.
The updated version will be posted on this page with a revised "Last Updated" date.
